The Equity, Diversity, and Inclusion and Sexual Violence Prevention and Human Rights (EDIHR) is seeking candidates to provide administrative support in a dynamic office environment responsible for a variety of services and programming.

RESPONSIBILITIES:

Reporting to the Director of EDIHR, the successful candidate will support the work of staff engaged in the delivery of Equity, Diversity, and Inclusion work, harassment and discrimination complaint processes, and sexual violence prevention and response activities and services.

Duties will include:

  • Providing welcoming, professional and confidential administrative support
  • Acting in a professional manner consistent with equity, diversity, and inclusion principles
  • General office duties including acting as the first point of contact for the office both in person and on the phone; managing inquiries through the general office email accounts, booking meeting times and space for staff; and overseeing the operational needs of the office
  • Assisting with organizing and coordinating training sessions – liaising with other departmental administrative staff, scheduling, room bookings, logistics, catering, supplies, tech tests
  • Directing and escalating inquiries to appropriate team members in a timely manner
  • Attending to general accounting duties, assisting with petty cash reports/replenishments, submitting invoices for payment
  • Checking and maintaining the required supplies and equipment, ordering where needed
  • Maintaining electronic and paper administrative filing systems
  • Assisting team members with the creation of social media content and posting
  • Assisting team members with presentations or other communication materials (proofreading, editing, formatting)
  • Liaising with various university departments
  • Answering basic questions from external or internal contacts about resources, training, and services available through the units
  • Updating information on intranet sites (my¾«Í¯ÓûÅ®)
  • Other duties as required

QUALIFICATIONS:

  • Successful completion of a recognized post-secondary program in a related area and/or a minimum of 2 years relevant work experience
  • Ability to provide customer service to a diverse population while demonstrating qualities of empathy, genuineness, and respect
  • Demonstrated working knowledge of the concepts of equity, diversity, and inclusion 
  • Ability to work effectively and respectfully within the context of varying beliefs, behaviours, orientations, identities, and cultural backgrounds
  • Lived experience or expertise in diversity and inclusion an asset
  • Proficient in the use of computers and the following software programs: Windows, Microsoft Word, Excel, PowerPoint, shared drives, and Microsoft Outlook
  • Previous experience with Moodle, my¾«Í¯ÓûÅ®, or Sharepoint an asset but not required
  • Ability to work well within in a team environment, as well as independently, and able to demonstrate flexibility and adaptability
  • Must possess excellent oral and written English communication skills
