Communications and Events Officer - Department of Marketing and Communications - Communications and University Relations Unit
$74,230 to $82,297 per annum
We are seeking a communications and events professional who is inspired by our mission, demonstrates a high level of motivation, is willing to accept new challenges, and has the ability to balance diverse workloads to meet deadlines despite pressure and periodic interruptions.
Reporting to the Director of Communications and University Relations, the Communications and Events Officer provides direction and/or coordination in the development, planning, and delivery of ¾«Í¯ÓûÅ® events, ceremonies, and a variety of event communications products.
RESPONSIBILITIES:
- Serve as the ¾«Í¯ÓûÅ® event lead for the organization of signature institutional events on campus such as Convocation, Recognition of Founders Ceremony, and installations, etc., and events related to Office of the President initiatives such as symposia, announcements, receptions, openings, news conferences, etc.
- Develop and oversee event plans including elements such as budgets, timelines, risk assessment/management, protocol, and operations (including venue, catering, parking, production, labour, etc.)
- Other duties as assigned
- Negotiate contracts and deliverables with outside suppliers/vendors
- Work closely with colleagues in the Department of Marketing and Communications to coordinate event communications strategies, which may include traditional media relations, social media, and digital strategies; marketing and collateral materials; and coordinate documentation of key events (through photos, audio, and/or video)
- Provide leadership in the application of the ¾«Í¯ÓûÅ® Event Policy and related procedures
- Serve as a consultant by establishing mutually supportive relationships with ¾«Í¯ÓûÅ® event committees or individuals (¾«Í¯ÓûÅ® event leads) who deliver events on behalf of ¾«Í¯ÓûÅ® faculties, offices, and departments
- Advise ¾«Í¯ÓûÅ® event leads on ceremonial and event protocol, taking into account EDI, Indigenization, and de-colonization, and about the services available in the Department of Marketing and Communications
- Write and/or assist with editing and proofreading of content for event communications products that will be sent along internal and external channels
- Work with Conference Services and Facilities Management to develop processes, including those regarding scheduling and venue booking, that differentiate Conference Services event responsibilities for external clients from University event responsibilities for campus/internal event leads
QUALIFICATIONS:
- Bachelor’s degree or diploma in communications, business administration, marketing, events, or hospitality management, or a related field
- Minimum of 5–10 years directly related, progressively responsible experience, preferably in a complex organization with demonstrated success in strategic event consultation, planning, and execution
- Experience in using a variety of communications tools and vehicles to communicate with internal and external audiences
- Demonstrated dedication to, and respect for the University, its goals, and future
- Intense commitment to product quality and building exceptional relationships
- Excellent interpersonal and communication skills (both written and oral), including integrity with sensitive and confidential information
- Knowledge of communications channels and platforms whether owned, earned, or paid
- Ability to recognize problems and provide creative, strategic solutions
- Understanding of equity, diversity, and inclusion principles, as well as Truth and Reconciliation
- Advanced knowledge of the hospitality and events industry
- Superior organizational skills and attention to detail
- Strong computer/technical skills—including Microsoft Office (Office 365) applications (Word, Excel, Outlook, Teams, and PowerPoint), Windows and/or Macintosh O/S, and CMS
- Flexibility and ability to work outside of regular business hours
- A valid PEI driver’s license
